Data Controller

The controller of your personal data is CLOUDLY STUDIO sp. z o.o., with its registered office in Warsaw, Poland, at Ul. Żelazna 51/53, 00-841 Warsaw, registered in the Register of Entrepreneurs of the National Court Register under KRS number (hereinafter referred to as "Cloudly Studio" or "the Company").

What are Personal Data?

Personal data means any information relating to an identified or identifiable natural person.

Personal data processed by Cloudly Studio includes, but is not limited to: name and surname, email address, IP address, contact number, and in special cases may include date of birth, residential address, identification document number, and other data necessary and justified by the contract concluded, e.g., bank account number in the case of payments. When entering into cooperation agreements, Cloudly Studio may request data regarding professional achievements, projects, exhibitions, and positions held.

Legal Basis

Cloudly Studio processes your personal data in accordance with:

  • Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC ("GDPR");
  • Polish Act of 10 May 2018 on the Protection of Personal Data (Journal of Laws of 2019, item 1781)

Basis for Data Processing

Cloudly Studio processes data on the basis of:

  1. Applicable legal provisions to fulfill a legal obligation incumbent on Cloudly Studio (Article 6(1)(c) GDPR);
  2. The Company's legitimate interests in order to fulfill the tasks and objectives contained in its business activities (Article 6(1)(f) GDPR);
  3. Concluded contracts (Article 6(1)(b) GDPR);
  4. Consent given by the person to whom the data relates (Article 6(1)(a) GDPR).

Your Rights Regarding Personal Data Processing

As a person whose personal data is processed by Cloudly Studio, you have the right to:

  1. Access your data, including obtaining a copy of that data;
  2. Rectify (correct) your data;
  3. Erase your data;
  4. Restrict the processing of your data;
  5. Data portability, where technically feasible;
  6. Lodge a complaint with the supervisory authority if data is processed in violation of legal requirements, President of the Personal Data Protection Office (UODO), Ul. Stawki 2, 00-193 Warsaw, Poland

Submitting Requests and Complaints

Sending an email is considered consent to process data to the extent necessary to respond to the complaint or inquiry. Cloudly Studio may, in order to provide a response, request data enabling identification of the inquirer.

Cloudly Studio will make efforts to provide a response within 1 month from obtaining complete data enabling the provision of a response.

How to Withdraw Consent to Data Processing

To withdraw consent to data processing, simply send an email to: hello@cloudly.studio

Withdrawal of consent to the processing of personal data processed on the basis of user consent (Article 6(1)(a) GDPR) does not affect the lawfulness of processing carried out on the basis of consent before its withdrawal.

Transfer of Data Abroad

Cloudly Studio does not, as a rule, transfer data abroad. In the event that Cloudly Studio enters into an agreement with another entity for joint project management, within which your data will be collected, personal data may also be processed by another entity, which will then be disclosed to you in an appropriate form.

Applications such as Google Analytics, LinkedIn, and similar services that Cloudly Studio uses or may use are foreign entities, and therefore the processing of this data may take place abroad. Processing of data then takes place on the terms set out in the regulations of such applications.

For analytical purposes, Cloudly Studio uses the Google Analytics tool. Google uses personal data of users of our website when they consent to the use of appropriate cookies on our website.

To Whom Cloudly Studio May Transfer Data

Cloudly Studio may also transfer data to entities that cooperate with Cloudly Studio in the implementation of the Company's objectives or provide technical and administrative support. Cloudly Studio then transfers data for this purpose to entities acting pursuant to Article 28 GDPR. These entities include, in particular, companies providing IT services and server maintenance, providing legal services, accounting services, and banking services.

In special cases indicated by law, Cloudly Studio may be obliged to transfer personal data at the request of state authorities (e.g., police, prosecutor's office, tax authorities), as well as at the request of courts.

Data Processing Period

Data is processed for the period necessary to achieve the purposes indicated above and until legal obligations are fulfilled. This period is usually 6 years, but due to the legal relationship between Cloudly Studio and the data subject, this period may be longer, as justified by the limitation period for civil and tax claims.

Processing Data of Persons Registering for Events Organized by the Company

If you wish to participate in events organized by Cloudly Studio, such as webinars, training sessions, or workshops, Cloudly Studio will ask you to provide the necessary personal data in order to register participants and conduct the event. Such data includes: name and surname, email address, or telephone number. In special cases, this may additionally include company name or university, position held, scientific degree, artistic achievements, or preferred language — if the event is addressed to a specific group of participants and verification is necessary to determine whether you belong to that group — e.g., you are artists or students. The purpose of processing personal data is to implement the event. Processing of data then takes place on the basis of consent expressed by you (Article 6(1)(a) GDPR).

Newsletter

If Cloudly Studio maintains a newsletter or offers to send information about the Company's activities, and you wish to receive them, Cloudly Studio will ask you to provide the necessary personal data in order to send information about activities or the newsletter. Such data includes: name and surname, email address, or telephone number. If a given offer is addressed to a limited group of recipients, e.g., researchers, donors, or students, Cloudly Studio will request data enabling verification that you meet the given criterion, e.g., providing the name of the company or scientific title.

In the newsletter or information about Cloudly Studio's activities, we will inform you about the Company's activities, opportunities to support Cloudly Studio, planned events, and new initiatives. Processing of data then takes place on the basis of consent expressed by you (Article 6(1)(a) GDPR).

Service Payments

In the case of payment for services provided by Cloudly Studio or supporting Cloudly Studio in another way, Cloudly Studio processes the payer's personal data to the extent necessary to handle such payment, including its accounting, preparation of legally required reporting, as well as sending you a thank you for the support provided. Processing takes place on the basis of Article 6(1)(f) GDPR, i.e., legitimate interest, and Article 6(1)(b) GDPR for contractual obligations.

This privacy policy is effective from February 15, 2026.
